CVR Policies and Procedures

Our homes and condos are available for rental on a weekly basis in the summer and for a minimum of two nights during the off-season. During the summer, reservations run from either Sunday to Sunday or Saturday to Saturday, dependent upon the property reservation schedule.

Reservations paid for by credit card will be charged an additional 3.9%. All reservations whether by check or credit card, require a down payment of 50% of the total rental cost to reserve. The balance is due 30 days prior to arrival. If you are reserving a property within 30 days of the arrival date, the total reservation amount is due.

Check In
4:00 p.m.- 7:00 p.m.. We aim to have each property cleaned and ready by 4:00 p.m. but, sometimes they need more time to ensure they are completely clean and ready for your arrival. Please understand in the rare case that a problem arises, we reserve the right to delay the check-in time until the cleaning process is completed. Therefore, please plan your travel accordingly.
Check Out
10:00 a.m. or earlier. If you leave early, please contact us to let us know that you have departed. This helps the cleaning crews get an early start and helps to keep the check-in process on time. There will be a penalty for late departures.
Upon Arrival
Please check your unit upon arrival. If there is a problem, damage or cleanliness issues, please report it immediately. We will make every effort to take care of any issues if reported immediately. We do not offer discounts or refunds. Any issues not reported will be your responsibility.
Many refrigerators are left open during cleaning. It can take as long as twelve (12) hours before your food will cool and the refrigerator returns to a medium temperature. If you fill it with warm groceries and continually open the refrigerator door, it will take much longer than 12 hours. Please check your refrigerator upon arrival – it should be set at a medium temperature. If the refrigerator is turned to a high setting, the humidity will cause the coils to freeze up, which prevents cool air from reaching the refrigerator compartment while the freezer remains cold. If this should happen, please set the unit to a medium setting and allow time to defrost and stabilize.

Please do not leave the windows or doors open. It causes moisture/humidity issues inside the unit and your air conditioner to freeze up and quit working. If this happens, it will take about 24 hours before it will begin working again, which means you will not be enjoying a good night’s sleep.

Occupancy is strictly limited to the number stated in the unit description. The only exception is an infant sleeping in a crib. We reserve the right to cancel any reservation made under false pretenses, for groups exceeding the occupancy of the house or other legal reasons.
If a home is made unavailable due to damage or change of ownership, we will attempt to locate comparable substitute accommodations. If no suitable substitute can be located, all deposits and payments shall be refunded.
Mandatory Evacuations
Late summer and fall is hurricane season. Having a storm threaten your vacation is a possibility, but a very rare occasion. In the event the State orders a mandatory evacuation of the area due to natural disasters including but not limited to, hurricanes, floods, or tornadoes, guests must vacate the premises immediately. Unless Travel Insurance has been purchased, there will be no reimbursement for a mandatory evacuation.
Deposits & Payments
We accept bank checks, Visa, and MasterCard. Personal checks are accepted up to 30 days before your arrival date. All deposits and payments will be placed in an interest bearing account, with interest accruing to Coastal Vacation Rentals, Inc. All sales are final.
Additional Costs
Rental rates do not include linens, cleaning, state/local taxes, optional Travel Insurance or damage deposit waivers.
Items to Bring
A “starter supply” of soap, bath tissue, and dishwasher detergent is provided for your convenience. Some things you will need to bring are special kitchen items, salt, pepper, wraps, paper products, trash bags, soap, laundry and dish detergent, hair dryer, beach towels, beach chairs, coolers and sunscreen.
Accidental Damage Waiver
The Accidental Damage Waiver is available for all reservations. There is a $500 damage deposit required with the final payment if the Accidental Damage Waiver is not purchased. With the Accidental Damage Waiver you will not be required to pay for accidental damage to the home or personal property of the homeowner contained within the premises up to an aggregate limit of $500. Damages exceeding this limit will be the responsibility of the guest. Guests’ credit cards are held on file for this purpose.

Exclusions within the Accidental Damage Waiver specifically limit the guest’s coverage and do not release guest from liability for damage due to the following:

  • (a) intentional, willful, reckless, or malicious acts of guest or others on the premises during the tenancy;
  • (b) damage by pets (pets are prohibited in most properties);
  • (c) theft from the premises of either the owner’s property or property belonging to guest;
  • (d) gross negligence of guest or intentional misuse of furnishings, appliances, equipment or other amenities provided with the home;
  • (e) damage caused while under the influence of alcohol or drugs;
  • (f) damage to real property resulting from operation of any vehicle by guest;
  • (g) damages related to smoking in “No Smoking” homes.

The coverage of the Accidental Damage Waiver, as well as the conclusions contained herein, provided to guest shall extend to all members of guest’s party and guests thereof. In order to receive coverage under the Accidental Damage Waiver, all damages must be reported to the rental office immediately. The Accidental Damage Waiver fee will be higher for tenancies of 30 consecutive days or more, non-family, or large groups such as weddings, reunions and corporate retreats.

Furnishings & Equipment
Our rental homes have been decorated and equipped to satisfy the particular tastes and desires of their individual owners. The furnishings are not to be moved or rearranged and are subject to change without notice. Any locked closets are reserved for the storage of the owner’s private property and are not to be entered or damaged.
Properties with telephones allow local calls free of charge. Long distance calls should be charged to a credit card or be made collect. Guests shall be charged for any long distance charges made to the property along with a $25 fee.
Grill only in designated or paved areas away from any building if your rented home allows it. For your safety, grilling is not permitted on decks, porches, balconies, pool areas, or on the beach.
Many properties do not allow motorcycles, mopeds, motorized bikes, go-carts and similar motorized vehicles, golf carts, campers, trailers, or any other live-in moving vehicle. Please check to see if the property you are renting prohibits these if you have intentions of bringing one. Please remember that motor vehicles are not allowed on the beach. Guests bringing golf carts to private homes must provide registration and proof of insurance. Operators must be at least 16 years of age, have a valid driver’s license and obey all S.C. traffic regulations. Operation is limited to daylight hours.
Items Left in Home
Upon request, we will attempt to locate an item and mail it to you. A fee of $25.00, plus the cost of postage, will be charged. Items left in homes and not claimed after 10 days are donated to a local charity.
• Fireworks are prohibited.
• Discharge of firearms of any kind is prohibited.
Some of our properties are “Pet Friendly” with restrictions. If it is not marked as “Pet Friendly” then pets are strictly prohibited. If you are not staying in a “Pet Friendly” home or condo and you bring a pet without permission, you will be charged a $500 fee and asked to leave the property.
No Smoking
Smoking inside the unit will result in a loss of damage deposit plus any additional sanitizing fees associated with cleaning and you will be asked to leave immediately. This is a non-smoking property.
House Parties
House parties are prohibited. Any group consisting predominately of unrelated people under the age of 25, whether chaperoned or not, is considered a house party. Should a house party occupy a rental home, the rental will terminate immediately without a refund. The person making the reservation shall be held liable for any damage to the property, its contents or surroundings.
Travel Insurance
We recommend you buy Travel Insurance for your reservation. If you do not wish to accept the Travel Insurance, please initial the Rental Agreement where indicated. We want you to experience all the joy and excitement of your planned and much anticipated vacation to the Myrtle Beach area.

However, we know that unexpected events, illness, medical emergencies, delayed flights, hurricanes and severe weather can occur when you least expect them. These unfortunate events may cause you to cancel or interrupt your trip, forcing you to lose your vacation investment and incur unexpected expenses.

Remember, when you cancel the insurance, you are cancelling it for your entire group. Can you afford to lose the non-refundable cost of your trip if something unexpected happened?

Business Services
Our guests may send and receive faxes, have photocopies made and access our wireless internet free of charge. When receiving faxes, make sure the sender notes your name and property name or number on the transmittal sheet.
